Refund & Cancellation Policy
This policy explains how cancellation and refund requests are handled for services provided by ECOM DIGITECH. The applicable terms depend on the service purchased, work already completed, third-party costs, and the written quotation or agreement.
1. Scope of This Policy
This policy applies to services offered by ECOM DIGITECH, including digital marketing, SEO, social media marketing, performance marketing, e-commerce marketing, website design and development, content creation, and related professional services.
The service quotation, invoice, proposal, or signed agreement may specify additional cancellation, refund, milestone, and renewal terms. Those terms should be reviewed before payment.
Nothing in this policy is intended to remove any consumer or other legal rights that cannot lawfully be excluded or restricted.
2. Cancellation Requests
Clients who wish to cancel a service should send a written request to info@ecomdigitech.com, including their name or business name, invoice or order reference, service details, and reason for cancellation.
- We will review the request against the agreed service scope and payment terms.
- For work already started, completed deliverables, approved milestones, and committed third-party expenses may affect the amount refundable.
- Where a recurring service is involved, the effective cancellation date will depend on the agreed billing period and notice terms.
- Stopping a campaign or requesting cancellation does not automatically reverse advertising costs already incurred with a third-party platform.
We will communicate the outcome of the request and any applicable next steps.
3. Refund Eligibility
Refund requests are reviewed individually in accordance with the agreed service terms and applicable law. Depending on the circumstances, a refund may be considered where:
- A payment was collected in error or duplicated.
- A service was not supplied as agreed and the issue cannot reasonably be resolved through an appropriate remedy.
- A written agreement expressly provides for a refund in the relevant circumstances.
- A refund is required under applicable law.
Where appropriate, we may first seek to resolve a service concern through correction, completion of agreed work, or another remedy consistent with the contract and applicable law.
Submitting a refund request does not guarantee approval. The decision will be based on the facts, relevant agreement, work performed, and applicable legal requirements.
4. Work Completed and Third-Party Costs
Where permitted by law and consistent with the applicable agreement, the following may affect refund eligibility:
- Work already completed or deliverables already supplied.
- Milestones approved by the client or work specifically authorized to proceed.
- Third-party costs that have already been incurred and cannot be recovered, such as approved licences, stock assets, hosting, domain registration, or platform charges.
- Custom work that has already been produced in accordance with the agreed scope.
Any deduction or retained amount must be assessed against the contract and applicable law. This policy does not automatically make every advance, deposit, or completed service non-refundable.
5. Digital Marketing and Website Services
For digital marketing, SEO, design, development, content, and similar services, the applicable quotation should define deliverables, revision rounds, milestones, project duration, and cancellation terms.
If a client believes an agreed deliverable is incomplete or does not match the approved scope, they should contact us with the relevant details so that we can review the issue.
Changes in search rankings, traffic, advertising performance, sales, lead volumes, or other business outcomes do not alone establish refund eligibility where the agreed service was the provision of professional work rather than a guaranteed result.
Any specific performance guarantee or remedy must be expressly stated in a written agreement.
6. Advertising Budgets and Third-Party Charges
Advertising spend paid to Google, Meta, or another advertising platform is separate from ECOM DIGITECH's management charges unless the relevant quotation states otherwise.
- Charges already incurred by an advertising platform are subject to that platform's billing and refund rules.
- We cannot promise that a third-party platform will approve a credit or refund request.
- Any unused advertising balance held directly by a platform should be addressed through that platform's applicable procedures.
- Agency fees, campaign setup charges, and ongoing management fees are handled according to the relevant written agreement and applicable law.
7. Recurring Services and Renewals
For monthly or other recurring services, clients should follow the cancellation notice and billing arrangements specified in their quotation or service agreement.
Where a cancellation takes effect partway through a billing period, the treatment of prepaid fees will depend on the agreed terms, the work performed, and applicable law.
Clients should contact us before the next renewal date if they wish to discuss stopping or changing an ongoing service. Any applicable statutory cancellation or refund rights remain unaffected.
8. Duplicate or Incorrect Payments
If you believe you have been charged twice or have paid an incorrect amount, please contact us with the transaction reference, date, amount, and invoice details.
We will review the payment records. If a duplicate or erroneous payment is confirmed, any applicable refund will be processed through an appropriate payment method, subject to payment-provider procedures and applicable law.
Please do not send full card numbers, passwords, PINs, CVVs, or other sensitive payment credentials by email or WhatsApp.
9. Refund Review and Processing Time
We will acknowledge and review refund requests within a reasonable period. We may ask for additional information to verify the transaction or assess the service issue.
If a refund is approved, the expected processing time will depend on the payment method, payment provider, bank, and applicable rules. Any specific timeline communicated in writing for your transaction will apply where appropriate.
A refund should not be considered completed until the payment provider has processed it. If a payment provider offers a reference number, we may share it to help you follow up with your bank.
10. Questions and Payment Disputes
If you have a concern about a charge, invoice, deliverable, or cancellation, please contact us first with your order or invoice reference and a clear description of the issue.
We will review the available records and try to resolve the matter fairly. This process does not prevent you from exercising any rights available through your bank, payment provider, consumer forum, or other competent authority under applicable law.
11. Consumer Rights and Applicable Law
This policy is intended to operate alongside applicable Indian laws and any other mandatory legal protections that apply to a transaction.
Where a term in this policy conflicts with a non-waivable legal right, the applicable legal requirement will prevail to the extent of the conflict.
